Privacy Policy

This is a starter privacy policy. Please read it, change anything that does not match what you actually do, and have it reviewed before you rely on it.

What is collected

Your name, email address, phone number and postal address; each child's name, date of birth, and any medical notes or allergies you provide; emergency contact details; and a record of registrations, attendance, invoices and payments.

Why it is collected

To run the classes your child is registered for, to keep them safe, to contact you about those classes, and to invoice and take payment. Medical notes and allergies are collected so coaching staff can act on them.

Who can see it

Staff at Astro, limited to what their role needs — a coach sees the register for the classes they teach, including the medical notes for those children. It is not sold, and it is not shared for anyone else's marketing.

The sport's governing bodies

Clubs are normally members of a provincial and a national federation, and registering a child with them for membership and insurance means passing on that child's name, date of birth and your contact details. Where that applies to Astro it is done for that purpose and no other, and those organisations then hold the information under their own privacy policies.

Photographs and video

Photographs and video of your child are used in Astro's own material only where you have said at registration that they may be, and you can change that answer at any time by telling Astro.

Payments

Card payments are handled by Stripe. Astro does not receive or store your card number.

Messages

Email is used for receipts, invoices and class news. If you give a mobile number, text messages may be used for the same purposes; reply STOP to any of them to stop receiving them.

How long it is kept

For as long as your family is registered, and afterwards for as long as Astro is required to keep financial and incident records.

Your choices

You can see and correct your details in your account at any time, and you can ask Astro for a copy of what is held about your family or for it to be deleted where there is no legal reason to keep it.

Who holds it, and who to ask

Astro operates in Langley Township, British Columbia and is responsible for the information described here. Ask Astro directly to see, correct or delete it. Privacy law in British Columbia gives you these rights whether or not this policy says so.
